PRO-VIA Portal ("we", "our", "us") respects your privacy. This Privacy Policy describes how we collect and use the personal information of (a) visitors to provia.ae, (b) registered users of the PRO-VIA Portal application, and (c) the customers of those registered users whose data is stored in the application by our subscribers. This policy is consistent with the United Arab Emirates Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data ("UAE PDPL").
1. Information we collect
1a. Information you give us directly
- Account information — when you create a PRO-VIA Portal account: company name, contact name, email address, phone number, trade licence number where required, and the password you choose.
- Billing information — payment is processed by Stripe Inc. We never see or store your full card number; we only retain a tokenised reference (e.g., card brand, last 4 digits, expiry month/year) so you can opt in to auto-renewal.
- Business data — any vehicle, customer, contract, invoice, payment, accounting or other record you create within the application. You own this data.
- Support correspondence — emails, phone calls, or WhatsApp messages you send us.
1b. Information collected automatically
- Log data — IP address, browser type, pages visited, timestamps. Used for security and basic analytics.
- Cookies — a small session cookie keeps you logged in. We do not use third-party advertising or tracking cookies.
2. How we use your information
- To provide, maintain, and improve PRO-VIA Portal.
- To process subscription payments and send billing receipts.
- To send service-related communication (e.g., scheduled maintenance notice, expiry reminders, security alerts).
- To respond to support enquiries.
- To detect and prevent fraud, abuse, or unauthorised access.
- To comply with legal obligations under UAE law.
We do not sell your data. We do not share your data with advertisers. We do not use your business data to train AI models.
3. Where your data is stored
Your data is stored on encrypted servers located in or near the United Arab Emirates and the European Union. Database backups are encrypted and stored off-site. Payment data is held by Stripe under their own privacy and security policies.
4. How long we keep your data
- While your subscription is active: indefinitely.
- After cancellation: a complete encrypted backup is retained for 30 days, after which it is permanently deleted.
- Billing records and audit logs are retained for 5 years to satisfy UAE accounting and tax record-keeping requirements.

5. Sharing with third parties
We share your information only with the following service providers, and only to the extent necessary to operate the service:
- Stripe — payment processing.
- Cloud hosting provider — server infrastructure.
- Email delivery service — for transactional emails.
- Government / regulatory authorities — only when legally required.
6. Security
We protect your data with industry-standard measures including TLS encryption in transit, encryption at rest for backups, role-based access controls, audit logging, and regular security reviews. No system is perfectly secure, but we work hard to make breaches both unlikely and survivable.
7. Your rights
Under UAE PDPL you have the right to:
- Access the personal data we hold about you.
- Correct inaccurate data.
- Request deletion of your data (subject to legal retention obligations).
- Object to or restrict certain types of processing.
- Receive your data in a portable format (we provide complete SQL backups on demand).
- Withdraw consent for processing where consent is the legal basis.
- Lodge a complaint with the UAE Data Office.

8. Children's data
PRO-VIA Portal is a B2B service for registered businesses. We do not knowingly collect personal data from anyone under the age of 18.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active subscribers by email at least 30 days before they take effect.
